How to Secure Your Booking
To reserve a hospitality package or a race-day service, send your details through the enquiry form on our contact page. Please include your name, the event you are interested in, your preferred racecourse, the number of guests and any access notes we should know about. We work with adult guests 18+ and bookings are handled in the order they are received.
A booking is only held once we have confirmed availability and received the requested deposit, where applicable. Until that point, the space remains open to other guests. If you are booking for a group, one contact person should manage the communication so there is no confusion about numbers or timings.
Deposits and Payment Confirmation
Some packages require a deposit to secure the reservation and to allow us to finalise seating, catering and race-day arrangements. The balance, if any, is due by the date stated in your confirmation. If payment is not received on time, the booking may be released and offered to another guest.
- Keep your payment reference clear so we can match it to your booking.
- Wait for written confirmation before treating the booking as secure.
- If you need an invoice or payment breakdown, ask early so there is enough time to process it.
Once payment has been processed, we will confirm the next steps for your package and any arrival instructions. If your booking includes form guide support, we will also note the service dates and delivery method.
Guest Numbers and Group Changes
Please give us the most accurate guest count possible when you book. Hospitality spaces at Turffontein, Greyville, Kenilworth, Scottsville and Fairview can have fixed seating, catering limits and access rules, so numbers matter. If your group size changes, tell us as soon as you can.
Small changes may be possible depending on venue rules and availability, but late additions cannot always be guaranteed. Reductions in numbers may still leave a fixed charge in place where food, seating or supplier costs have already been locked in.
- Confirm final numbers by the deadline on your booking note.
- Advise us if any guest has mobility needs or dietary requirements.
- For larger groups, please appoint one person to approve changes.
Event Changes, Postponements and Track Conditions
Race meetings can change because of weather, track condition, municipal restrictions or racecourse decisions. In Johannesburg and other coastal or inland centres, rain, heat and wind can affect race-day plans, so please check your booking updates before travelling. If a meeting is postponed, moved or adjusted, we will follow the racecourse schedule and advise you on the revised arrangements.
Track condition notes are shared as part of our service where relevant, but they are informational only. They help you understand the day, not predict results. If betting is part of your outing, please keep it measured and set a budget before you arrive. Only wager what you can afford to lose.
Race-Day Etiquette and What to Expect
Our hospitality service is designed for adults who want a practical, organised day at the races. Dress neatly for the venue, arrive on time and keep your ticket or booking confirmation with you. At the track, please follow staff instructions, respect restricted areas and keep noise down during the running of a race.
For newcomers, we can explain racecard basics, how to read form and what pace maps mean. In simple terms, form reading helps you compare recent runs, distance suitability, track preference and weight carried. It does not remove risk, but it can help you make more informed decisions. If you are unsure, ask before placing a bet or making assumptions about a runner.
If You Need to Cancel or Amend
If you need to cancel or amend a booking, contact us through the enquiry form as early as possible. The earlier you let us know, the better the chance of adjusting the arrangement with the racecourse, caterer or service team. Late cancellations may be subject to charges if costs have already been committed.
- Send your booking reference with every change request.
- State clearly whether you are cancelling, reducing numbers or moving dates.
- Wait for written acknowledgement before assuming the change has been accepted.
For form guide services, delivery timing may differ for weekday meetings, feature cards and weekend previews. If your request arrives after the cut-off time, the service may be issued on the next available schedule.
